Job Title:          Clerk to the Devon Cricket Board 

Location:          Devon, various locations, predominately Exeter

Committment:  Approximately 8 evening meetings per year, 10-12 hours per month.

 

MAIN PURPOSE AND SCOPE OF THE JOB:

The successful candidate will possess excellent organisation, communication and ICT skills and be familiar with maintaining confidentiality at all times.  They will ensure the smooth running of meetings, prepare meeting agendas and collate supporting papers, take accurate minutes and be a principle source of communication between the Devon Cricket Board, Lead Professional and Devon Cricket Members. Advise the Board on the current legislative framework where necessary. 

 

POSITION IN ORGANISATION

Reports to: Chair of the Devon Cricket Board

 

DUTIES AND KEY RESPONSIBILITIES

To be fully conversant with the memorandum and Articles of Association for the Devon Cricket Board Ltd and the Terms of Reference of its Committees and to advise the Directors on matters of procedure in this respect.

To prepare the agenda for Board meetings and its sub committees as appropriate, in consultation with Chair and Lead Professional.

To undertake in such manner as the Devon Cricket Board may agree from time to time the collation and circulation of the agenda and supporting papers to all Directors at least 7 days in advance of the meeting (21 days in advance of the Company AGM to include Members).

To coordinate the booking of rooms for board meetings, sub committees, away days and other special meetings and refreshments if required.

To attend each of the monthly full evening Board meetings and take accurate and detailed notes of the matters discussed.

To prepare and submit draft minutes of all meetings for approval to the Chair within 14 days with copies to the Lead Officers for information.

To undertake the distribution of the minutes to the Devon Cricket Board Directors and Members as soon as they have been approved by the Chair.

To show diplomacy and tack and an ability to work with Directors and professional staff.  A high degree of flexibility and adaptability will be clearly demonstrated by successful candidates.

To maintain membership records on each individual Director’s term of office and attendance and alert the Chairman in advance of any impending Director vacancies, non-attendance at meetings and administer arrangements for recruiting and inducting new Trustees.

To support the Chair in the recruitment process for Directors as appropriate with input support from HR.

To support the Chair in establishing and monitoring the appraisal and performance review cycle for the Lead Professional of the Devon Cricket Board.

To provide administrative support to Directors both individually and collectively and manage all communications to and from Board members and between the Board and the Members of the Devon Cricket Board.

Flexibility 

The post holder is expected to work flexibly including attending meetings out of normal office hours and to be able to meet the challenges and opportunities of working within Devon Cricket.
